Rules and automatic changes
Choose when Ordo warns your team, and what it changes by itself.
On this page 6 sections
In short
- Each rule is one number of days.
- A change applies to everyone at once.
- Automatic changes each have an on and off switch.
Where: Settings → Rules (admins)
Each rule shows where it appears, with a small picture. Click a number to change it.

The change applies to everyone at once. Back to the defaults puts every rule back.
How it works
- Red company: after 30 days with no contact.
- Amber company: after 14 days with no contact, or at once when a meeting or task is overdue.
- Do next: a deal with no activity for 7 days.
- Close date pushed: counts as pushed if it moved later in the last 7 days.
- Payment warning: 7 days before a payment is due.
- My work: shows meetings and tasks up to 7 days ahead.
- Quiet time: the timeline marks a gap of 14 days or more.
Automatic changes
- Won makes a Customer: when you win a deal, its company becomes a Customer. On to start with.
- A quiet customer becomes Inactive: a Customer with no deal won and no meeting or task for 365 days. Off to start with. Before you turn it on, Ordo says how many companies it would change.
- Inactive becomes a Prospect again: when someone adds a deal or a meeting there. On to start with.
Losing a deal never changes the company.
Good to know
- Ordo checks every few hours. A change made by a rule shows on the timeline as "Changed automatically".
Questions
Can I change when a company turns red?
Yes. An admin changes the number of days in Settings → Rules. It applies to everyone.
Does Ordo change a company's status by itself?
Yes, if the rule is on. Winning a deal makes the company a Customer. An admin can turn each change on or off.
Can a rep change the rules?
No. Only admins change rules, because they apply to the whole team.
